Terms and Conditions

These terms and conditions (“Terms”) govern the agreement between you (“Client” or “you”) and Africa Incoming Adventures (“Africa Incoming Adventures” or “we,” “us,” or the “Company”) for the provision of safari services in Tanzania.

By booking a safari with us, you acknowledge and agree to be bound by these Terms. Please read them carefully.

1. Booking and Payment

1.1 By making a booking, the lead named person, the client, on the booking agrees on behalf of all persons detailed on the booking that:

  • He/she has read these terms and conditions and has the authority to and agrees to be bound by them;
  • He/she is over 18 years of age.

1.2 To secure your booking, a non-refundable deposit of:

  • $175 or 10% [low season – September to November and April – May]
  • $350 or 20% [high season – June to August and from December to March]

…of the total safari cost (whichever is greater) is required upon booking confirmation. The deposit is deducted from the total safari cost.

1.3 Payment Methods: We accept payment by credit card, bank transfer, or any other payment method as agreed upon by both parties. See payment process details here.

1.4 Final Payment: The remaining balance of the total safari cost is due 90 days before the safari start date. Failure to make the final payment on time may result in the cancellation of your booking.

1.5 If the client makes the initial safari booking less than 90 days before the start of the safari, they are required to pay the full amount of the safari cost, as stated on the quote, at the time of booking and will not have the option to pay in installments.

2. Pricing

2.1 We reserve the right to amend the price of unsold holidays at any time and correct errors in the prices of confirmed holidays within 7 days of the booking.

2.2 The price of your holiday is subject to change after you have booked only in certain circumstances. These include changes in fuel or power costs, taxes or fees imposed by third parties, or exchange rate fluctuations. However, no price changes will be made within 20 days of your departure.

2.3 Please note that travel arrangements are not always purchased in local currency and some apparent changes may have no impact on the price of your travel due to contractual protections in place.

3. Currency Exchange Rates and Conversion Fees

3.1 All safari booking prices and payment amounts are quoted in USD, unless otherwise specified.

3.2 If the client chooses to make payments in another currency, the applicable exchange rates will be determined at the time of payment.

3.3 Currency conversion fees may apply and are the responsibility of the client.

3.4 By choosing to make payments in a currency other than USD, the client agrees to bear all related conversion fees and rate variations.

3.5 In case of discrepancies, the actual amount received in USD by Africa Incoming Adventures will be considered the valid payment.

3.6 Refunds will be made in USD; any conversion fees incurred during the refund process will be borne by the client.

3.7 Africa Incoming Adventures will make every effort to inform clients of relevant exchange rates and potential fees at the time of payment, but clients are responsible for being aware of this information.

4. Client Cancellation and Refunds

4.1 Cancellations must be submitted in writing and are effective upon acknowledgment by Africa Incoming Adventures.

4.2 Cancellation fees are as follows:

  • More than 90 days before the safari: 20% to 30% of the total cost
  • 60 to 89 days before the safari: 40% to 50% of the total cost
  • 30 to 59 days before the safari: 60% of the total cost
  • Less than 30 days before the safari: 100% of the total cost

All include loss of deposit and non-refundable items.

4.3 We strongly recommend obtaining comprehensive travel insurance.

4.4 Any non-refundable deposits may be used to offset cancellation fees.

4.5 Special permit and non-refundable item costs will be forfeited upon cancellation.

4.6 Any bank fees during the refund process are the responsibility of the client.

4.7 Refunds are processed within 30 days of cancellation acknowledgment.

5. Health and Safety

5.1 Clients are responsible for meeting health and vaccination requirements.

5.2 You must disclose any pre-existing conditions that may affect your participation. We may refuse service if deemed necessary.

5.3 Medical emergencies are your financial responsibility.

5.4 Comprehensive travel insurance covering health and evacuation is highly recommended.

5.5 We follow all local/international health protocols but are not liable for illnesses or injuries.

5.6 Adherence to safety instructions from guides and staff is required.

6. Travel Insurance

6.1 Comprehensive travel insurance is mandatory.

6.2 Proof of insurance must be provided before the safari begins.

6.3 We are not responsible for losses due to insufficient insurance coverage.

7. Special Requests

7.1 We will try to accommodate special requests but cannot guarantee fulfillment.

7.2 Requests must be made at the time of booking and confirmed in writing.

8. Passports, Visas, and Documentation

8.1 It is your responsibility to ensure all travel documentation is valid.

8.2 Passports must be valid for at least six months beyond your return date.

8.3 We are not responsible for any issues due to incorrect or missing documents.

9. Privacy and Data Protection

9.1 We collect and use personal information in accordance with our Privacy Policy.

9.2 By booking, you consent to this collection and use for service delivery and legal compliance.

9.3 We do not share personal data for marketing without consent.

10. Complaints and Disputes

10.1 Notify your guide or our staff of any issues immediately.

10.2 Unresolved complaints must be submitted in writing within 14 days post-tour.

10.3 We aim to resolve complaints within 30 days. Unresolved disputes fall under Tanzanian jurisdiction.

11. Code of Conduct

11.1 Clients must behave respectfully during the safari.

11.2 Disruptive clients may be removed without refund.

11.3 No refunds are provided for services missed due to misconduct.

12. Photography and Media

12.1 We may take photographs and videos during the safari.

12.2 Participation constitutes consent for marketing use.

12.3 If you wish to opt out, notify us in writing before the safari.

13. Limitation of Liability

13.1 Our liability is limited to the amount paid, unless due to gross negligence or willful misconduct.

13.2 We are not liable for indirect or consequential damages.

14. Force Majeure

14.1 We are not liable for failure to perform due to circumstances beyond our control (e.g., natural disasters, strikes, pandemics, etc.).

15. Governing Law

15.1 These Terms are governed by the laws of Tanzania.

15.2 Disputes fall under the exclusive jurisdiction of Tanzanian courts.

16. Amendments

16.1 We may amend these Terms at any time without notice.

16.2 Continued use of our services implies acceptance of the latest Terms.

16.3 You are responsible for regularly reviewing these Terms. rly to ensure you are aware of any changes.
